Job Title: Logistics & Imports Administrator
Position Summary
The Logistics & Imports Administrator is responsible for ensuring the accurate administration and coordination of import shipments from supplier documentation through to warehouse receipt. The role ensures that all import, customs, quality assurance, and inventory documentation is complete, accurate, and processed on time to support efficient supply chain operations.
Key Responsibilities
Import Documentation
- Complete and submit clearing instructions to appointed clearing agents.
- Verify supplier documentation, including commercial invoices, packing lists, and shipping documents, for accuracy and completeness.
- Assist with customs documentation and ensure compliance with import regulations.
- Liaise with suppliers, freight forwarders, clearing agents, and internal departments to resolve documentation queries.
Quality Assurance Documentation
- Ensure all required QA documentation is received from suppliers before shipment arrival.
- Send quality assurance documentation to the warehouse prior to the shipment arriving to support inspection and receiving processes.
- Manage and maintain test certificates and material certificates, ensuring they are correctly filed and easily accessible.
Costing & Inventory Administration
- Prepare landed cost calculations for imported shipments.
- Capture shipment costs accurately within the ERP system.
- Process Goods Received Vouchers (GRVs) once stock has been received and verified.
- Ensure all costing and inventory transactions are completed accurately and within required timelines.
Documentation Control
- Maintain complete and organised records of import, customs, QA, and supplier documentation.
- Ensure all documentation complies with company procedures and audit requirements.
- Assist with document retrieval for internal and external audits.
Job Specification
Qualifications
- Grade 12 (Matric).
- Certificate or Diploma in Logistics, Supply Chain, Procurement, or a related field
Experience
- 2 years’ experience in logistics, imports, procurement, or supply chain administration.
- Experience in Imports and Exports
- Experience working with clearing agents and customs documentation.
- Experience with ERP systems is advantageous.
